Selecting a Catering Service
When selecting a catering service it is always best to deal with one person only, usually the Conference Events Manager, to coordinate all arrangements for food and beverage services. Whether you need coffee service, a buffet lunch or a formal dinner, the food services staff will assist you with menu selections.
When planning your function, there is some basic information to have ready at your disposal while on the phone with the Conference Events Manager when placing an order:
1) Account number for billing or Credit Card information
2) Date and starting/ending time of event
3) Estimated number of participants
4) Conference Room name
5) Menu request including special requests due to allergies, preference of food, etc.
Please alert the Conference Events Manager if any event participants require special meals such as vegetarian or kosher, or if someone has food allergies. Most conference facilities are prepared to accommodate an unexpected vegetarian meal or two, however advance notice is preferred.
At least 2 weeks notice is preferred for all food services functions. The food services staff can provide you with a variety of food and beverage selections in most cases. Many of the larger facilities have in house catering; therefore, food service from outside vendors is not permitted in the private dining or conference rooms.
