If any of the participants, guest speakers or yourself have any last minute logistical or attendance changes, be sure to speak with the Conference Event Manager. To ensure that your request is handled promptly, it's best to speak to someone directly instead of leaving a voice message or E-mail message.

Confirm attendance numbers of function participants with food services so they can plan accordingly for catering; confirm the day before for an early morning event or first thing in the morning for an afternoon event.

Check on your meeting or dining room at least 30 minutes before your event is scheduled to begin.

Please make sure that one of your event staff is present at least 30 minutes before the event to greet any early arrivals and direct them to the seating arrangements.

If your group has a breakfast planned before your meeting in a different room this does not guarantee that the meeting room will be completely setup when the breakfast begins. Do not panic. The Conference Event Manager will set up rooms in accordance to your requested start time of that specific event.

Check microphones and other equipment to be sure they are working properly.

Many conference facilities will provide your group with the name badges before the event begins. Please make sure that all attendees wear the badges during the entire event.
